Description
Performs a variety of administrative support duties for the Facilities Department, (Information Technology, Security, Transportation and Maintenance) including but not limited to processing requisitions, work ticket data entry/tracking and GSA school bus/vehicle reports

Essential Functions:
• Performs administrative/clerical duties for the purpose of assisting the Director in the performance of an efficient operation of the maintenance, transportation, security and Information Technology Departments.
• Willingness to become knowledgeable regarding District policies, as appropriate.
• Attends meetings for the purpose of conveying and/or gathering information required to perform functions.
• Prepares reports for Director as needed.
• Maintains various records and complies pertinent information for Director’s use.
• Prepares reports and studies for the purpose of providing information to the Board, Superintendent, other staff, and the public and/or complying with regulatory requirements.
• Responds to inquiries for the purpose of documenting and/or direction.
• Assists other office personnel as required in supporting them in the completion of their work activities.
• Maintains records/files for the purpose of documenting and/or providing reliable information and compliance with all applicable Federal/BIE laws, and policy requirements.
• Attends meetings as required for receiving and conveying information.
• Composes documents for the purpose of communicating information to school and district personnel, using correct grammar, spelling and punctuation.
• Ability to perform multiple technical tasks to manage electronic records.
• Ability to prioritize work and make good decisions in the absence of the Director.
• Ability to work under standardized instructions and/or routines; provide information and/or advising others; and operating within a defined budget and/or financial guidelines.
• Processes business documents and materials (e.g. purchase requisitions, payroll records, work orders, agendas, mail, etc.)
• Responds to inquiries from various internal and external parties (e.g. district staff, Federal & BIA/BIE agencies, etc.) for the purpose of providing information, facilitating communication among departments and/or providing direction as may be required.
• Schedules various meetings for the purpose of assisting in meeting staff needs and efficient utilization of personnel, equipment and facilities.
• Monitors and updates various trainings/events (e.g. Health/Safety etc.).
• Monitors facilities time clock entries and leaves absences with the Payroll Manager and Timekeeper
• Maintains CDL requirements for bus drivers (health/safety)
• Assist with travel request forms, travel arrangements/motel reservations
• Maintain bus schedules for local routes, out-of-town field trips and special events including assignment of bus drivers

Required Physical Abilities:
• Ability to sit and use a computer for a long period of time

Qualifications:
• High School diploma or equivalent preferred
• Ability to effectively communicate (written and verbal)
• Ability to establish and maintain effective and cooperative working relationships with all staff
• Ability to classify assigned work tasks and multitask
• Ability to follow and implement directives
• Maintain confidentiality of records and correspondence
• Knowledge of office procedures and data input
• Effectively use a variety of computer programs such as; Word, Excel & Maximo etc.
• Be responsible, reliable, flexible and adaptable to change; regular and on-time attendance required
• Perform other related duties, as assigned, to ensure the efficient and effective functioning of the work unit

• The School conducts Federal, State/Local Criminal background checks pursuant to the Indian Child Protection and Family Violence Prevention Act (25CFR34) AND Public Law 101-360 Title IV Indian Child Protection. Any form that requires to be “Notarized” must have current notary seal/signature/date
• Valid Arizona Driver’s License
• Must complete all questions completely and correctly and signatures where applicable
