Description
The On-Call Office Personnel will provide essential administrative support to the Elementary
School Office, primarily focusing on monitoring and managing student attendance. This position
will also assist with registrar duties and perform various office tasks as needed to ensure the
smooth operation of the school’s administrative functions.

Key Responsibilities:
1. Student Attendance Monitoring:
o Accurately record and monitor student attendance daily.
o Follow up on student absences and tardies, ensuring all records are up-to-date.
o Coordinate with teachers, parents, and guardians regarding attendance concerns or
discrepancies.
o Ensure that attendance data is correctly entered into the school’s student
information system.
2. Registrar Duties:
o Maintain and update student records, ensuring all information is current and
accurate.
o Process new student enrollments and withdrawals, preparing necessary
documentation and forms.
o Assist with compiling and generating reports related to student enrollment,
attendance, and academic progress.

3. General Office Support:
o Provide general administrative assistance, including filing, answering phones, and
managing office supplies.
o Assist with the preparation of reports, memos, and other documents as needed by
school leadership.
o Handle incoming communications and inquiries from parents, staff, and visitors.
o Support various school programs and initiatives as assigned by the Principal or
Office Manager.

4. Collaboration and Communication:
o Work closely with school staff, including teachers and administrators, to support
the daily operations of the school.

o Maintain clear communication with parents and guardians about attendance
issues, enrollment, and other administrative matters.

5. Other Duties as Assigned:
o Assist with other office-related tasks and special projects as required by the
school’s leadership team.
o Ensure compliance with all school policies and procedures.

Requirements
Qualifications:
 Education and Experience:
o High school diploma or equivalent required; some college coursework in
administration or a related field preferred.
o Experience in office administration, clerical work, or student records management
is a plus.
 Skills:
o Strong organizational and multitasking skills.
o Excellent attention to detail and accuracy, especially in handling student records
and attendance data.
o Proficiency with office software (e.g., Microsoft Office Suite, Google Workspace)
and school management systems.
o Strong communication skills, both written and verbal.
o Ability to work independently and as part of a team.
 Other Requirements:
o Ability to maintain confidentiality with sensitive student information.
o Flexible and able to respond to the varying needs of the school on short notice.
o Reliable, punctual, and professional in appearance and demeanor.

Working Conditions:
 This position is on-call, meaning hours will vary based on the school’s needs and may
include both scheduled and unscheduled shifts.
 Must be available to work during normal school hours or as needed.
 The role is based in the school office and may involve interaction with students, parents,
and staff.
