Description
The Purchasing Administrative clerk is responsible for handling the school’s purchasing and receiving
functions by processing and routing all incoming deliveries and outgoing items; handles the school’s
mailing functions ensuring that all mails are processed and delivered in a timely manner including
internal and external mail; handles filing, shipping, stocking and inventory, and maintaining a clean
work environment; acts as primary assist for the Administration and Central Office; handles
transmission of Purchase Orders to vendors by email, fax, on-line or postal mail and ensures proper
documentation of receipt of the same; files receiving copy of the Purchase Order and compares with
the tracking slip; files tracking slips; coordinates with the Accounts Payable Manager on the delivery
status of the Purchase Orders.
Essential Duties and Responsibilities
• Oversees purchasing operations of the Business and Cafeteria Departments including employee
web ordering with on-line vendors; responsible for stocking and inventory of supplies, transmitting
purchase orders by fax, email or postal mail; assists Administration and Central Office
Administration; assists in answering the Central Office phone in the absence of the Office
Manager.
• Responsible for ordering and inventory management of Cafeteria and Central Office supplies and
office forms.
• Safekeeping of accountable forms and supplies and maintaining adequate stock level to ensure
smooth operations and control.
• Responsible for receiving of incoming deliveries and comparing tracking slip to the Purchase
Order for accuracy of delivery; coordinates with Accounts Payable Department on delivery status;
communicates with vendor on missing or incomplete delivery.
• Handles pick-up of incoming mail daily and delivery of outgoing mails as needed; handles sorting
of incoming and outgoing mails and distributes the mail to the appropriate department or
administrative office. Responsible for handling urgent mails and packages for UPS, FedEx, and
other mail carriers within Central Office; maintains adequate postage balance and reports to the
Business Manager to refill.
• Will be required to drive to run school errands as may be necessary.
• Maintains regular and reliable attendance, punctuality and personal appearance. Reads,
writes, and communicates clearly and efficiently orally, by phone, email, letters, etc.
• Adheres to all company policies and procedures
• Willing to be trained.
• Performs any other related duties as required or assigned.

Requirements
Education and Experience Requirements
• High school diploma or Associate Degree in related field
• Preferably with related experience
• Regular use of desktop/laptop computer, basic operating systems, and specialized software
systems.
• Basic experience with PowerPoint, Excel, and Word Applications
• Ability to add, subtract, multiply and divide
License Requirements
Must have a valid Class E Driver’s License
Physical Requirements
The following physical activities described below must be met by an employee to successfully
perform the essential functions of this job.
• Semi-repetitive high physical activities and requires lifting up to 25 pounds and occasionally
requires to lift or move up to 50 lbs by use of dollies.
• While performing the functions of this job, the employee is frequently required to talk or hear;
regularly required to sit, stand, walk, climb or balance, stoop, kneel or crouch as the job
requires.
